Admin Assistant / Office Support (Junior Level)

Full Time and Part Time

Grayford Industrial, multinational company with their head office based in Feltham Middlesex, we are looking for a Purchasing Coordinator to join our purchasing team, to work across all company projects where the purchasing and sourcing of goods is required.

You will be responsible for the purchasing of a wide range of industrial supplies and equipment used in the Oil, Gas, Petrochem, Power and Mining industries. You will be required to source products ranging from maintenance spares to complete engineering solutions. Collating, reviewing and processing purchase orders from customers, and from within the internal contracts team. You will ensure that purchase requests are appropriately recorded within our ISO9001 quality system.

Experience in sourcing quotes from international vendors is an advantage but not essential. You will liaise with the finance team where appropriate to ensure that payment terms for purchasing are appropriate, making recommendations to the contracts head where necessary.

Requirements

You will be Administration / Office Support experience suitably qualified. You will have excellent organisational and administrative skills and must be able to work with high volume and sometimes complex demands. You must have strong communication and interpersonal skills with the ability to articulate status reports to management and customers alike. You will possess advanced skills in Word, PowerPoint and Excel, and you must be able to read, write and communicate fluently in English. Other languages will be an advantage.

Duties

  • General office duties including Typing, Filing and Answering the Phone
  • Sourcing products online when required
  • Preparation of Purchase orders when required
  • Expediting of Purchase orders when required
  • Expanding the company’s brand distributor list
  • Producing reports for the Sales and Purchasing departments when required

Suitability

Would suit candidates both full time and part time, salary is negotiable depending on office experience. All candidates with office experience are considered.

Purchasing Coordinator

You must have strong communication and interpersonal skills with the ability to articulate status reports to management and customers alike. You will possess advanced skills in Word, PowerPoint and Excel, and you must be able to read, write and communicate fluently in English. Other languages will be an advantage.

Full training will be given for those candidates who are new to purchasing, that have a strong administrative background.

  • Sourcing hard to find products from around the globe at the lowest price
  • Placement of Purchase orders
  • Expediting of Purchase orders
  • Negotiation of Pricing
  • Processing of Customer Requirements
  • Handling Customer questions relating to products
  • Expanding the company’s brand distributor list
  • Working with the sales department on going for product pricing
  • Ecommerce enquiry processing and product management

Supply Chain Coordinator

Grayford Industrial are currently looking to recruit a Supply Chain Coordinator to be responsible for coordinating a multi-site Supply Chain functions across European territories. This is an exciting new opportunity that has arisen due to company growth.

Key Role

  • Coordination of a European supply contract
  • Purchasing and contract negotiation, managing, monitoring and evaluating terms and conditions of supply
  • Management of stock control, Stock movement and prepare forecasts and inventories for reports
  • Management of freight consolidation and timely delivery across 16 European sites
  • Initial Visits and possible ongoing visits to 16 sites

Skills & Experience

A high level of commitment, initiative, and self-motivation are essential in this role. The candidate will need to be hands on with the ability to work unsupervised, independently and work well under pressure. The candidate will have excellent communication and relationship developing skills.

Business Development Support (Internal Sales)

Grayford Industrial, multinational company with their head office based near Heathrow, is currently looking to fill a Business Development Support role to work alongside a Global Business Development Manager. The role will be mainly based at the head office with international travel possible if required.

You will be responsible for assisting in the development of sales territories, including generating new business in the Oil, Gas, Petrochemical, Mining and Power industries working in support of the GBD Manager. You will also be required to source products ranging from maintenance spares to complete engineering solutions. You will be responsible for generating, collating, reviewing and processing sales requests and purchase orders from customers, and from within the internal contracts team. You will ensure that purchase requests are appropriately recorded within our ISO9001 quality system, showing trend data and analysis relating to the company spend profile over time.

The role will include sourcing quotes from vendors and recommending purchases to the business based upon quality, value, price and availability. You will liaise with the finance team where appropriate to ensure that payment terms for procurement are appropriate, making recommendations to the contracts head where necessary.

Requirements

You will be suitably qualified, ideally have a minimum of 2 years of experience in an industrial or engineering purchasing role. You must have knowledge of Quality Assurance systems and be a skilled negotiator.
